The meeting began at 6:30.
In Attendance at the meeting were: Eric Kobb, Andy Ingzenga, Cyndi McCleary, Kim Whitham, Sue Sarosiek, Vicki Marbacher, Tim Anderson, Audrey Dean, Liz Nardone, Susan Dodge, Carol Bridges, Andrea Adams, Cathy Hammon, & Renee Portu.
Minutes from the September 2004 meeting were accepted without any changes.
There were positive comments about the fact that a more detailed form was sent out this year. A good number have been returned and more are expected to be sent back. Carol Bridges will sort through the returned forms and bring back a list of people to be contacted for upcoming events.
Upcoming bake sales are scheduled for the 7th & 8th grade band concert on November 16th and the 6th grade band and Wind Ensemble concert on November 18th. Lists of people to be contacted for the bake sales will be generated from the Parent Survey Forms after they have been sorted through. There will be a list of people to be contacted for each grade and music group. For example, parents of member of the 7th grade band will be contacted to help with the bake sale at the 7th grade band concert, parents of chorus members will be contacted to help out with the bake sale at the chorus concert etc. The Music Boosters will contact people to help with the bake sales. Vicki Marbacher will provide the change box needed for the bake sales. The Boosters will decide who will be asked to actually work the bake sale tables at the next meeting.
Approval of the Commemorative Decoration was given by the school administration. Sue Dodge will pick up the prototype this week and show it to Eric Kobb. After Eric has seen it and given the final okay Sue will place an initial order of 100. These 100 should be able to come in before the November concerts so they can be purchased at the concerts. If the initial 100 is sold through at the concerts then orders can be taken for future purchases. It is anticipated that we will order more for future events, concerts in the spring and end of school. At this time we were not able to get into the November Craft Fair being held at the school to sell the commemoratives. More calls will be made to see if some spot can be given to the Boosters to sell these and raise money that will go towards the purchase of the acoustic shell for the stage. It was also mentioned that we should advertise them on the school website, in the Exeter Newsletter and in the concert programs.
Eric will continue to look into this fundraising possibility. He was quoted a price of $2000 to write an original piece for the middle school groups to perform. This was considered too high and a price range of $500-$700 would be more suitable.
Vicki Marbacher reported that there is currently $3,182.01 in the Boosters account.
Vicki contacted the Galley Hatch and they will not be able to host a fundraising night for the Boosters as it might commit them to do it for other area schools also. But they are willing to make a donation to the Boosters to help with the purchase of the acoustic shell for the stage. Vicki put together a letter that requested a donation and can be sent to the Galley Hatch.
Discussion took place about a general letter going out to area businesses asking for financial support for the purchase of the acoustic shell for the stage. Eric can get a list of all the various community groups that use the stage over the course of the year to emphasize the fact that this purchase not only benefits the school but also all groups that make use of the facility. There may be a possibility that a “plaque” or some recognition can be given to those who make larger donations. Eric and Andy will put together a draft of such a letter that can be reviewed and discussed further at the next meeting.
Interest still exists to pursue the idea of having a social event at another local restaurant that could serve as a fundraiser for the Boosters. The possibility of a “Music Night” in Exeter where many different restaurants would participate and put a small percentage of sales towards the fundraiser was considered. Audrey will try to get a list of restaurants in the Exeter area.
